11. Tutorials for HMC outcomes

  • Target group: All stakeholders in the HMC project, including trainers, project managers, tool developers, and board members. (max. 20 participants)
  • Abstract: This breakout session is designed to fortify the dissemination strategies of HMC outputs, such as training materials, HMC Fact Sheets and specialized tools. It addresses the challenge of limited event capacities and conflicting schedules and proposes strategies to create tutorials for HMC products that could resolve these conflicts to some extent. Therefore, we would like to discuss different approaches for creating tutorials, especially the idea of recording training events. Creating tutorials would not only serve internal needs but also reach and benefit the global research community. This approach also serves as an excellent opportunity for external promotion of HMC initiatives. If there is sufficient participation and commitment, this meeting can also be used to plan the launch of a task force.
  • Objective: To establish scalable methods for recording and sharing HMC resources, ensuring comprehensive access for Helmholtz Center members and extending our reach to the global scientific community. Additionally, this session aims to identify suitable ways and channels for publishing these records, enhancing the visibility of HMC’s contributions and ensuring that our educational materials are accessible and beneficial to both internal stakeholders and the external research community.
  • Agenda: This interactive session will combine elements of a brainstorming workshop and a strategic planning discussion. It will commence with an overview of current dissemination barriers, followed by group brainstorming sessions to devise practical recording and sharing solutions.

 

 

12. HMC Consulting: Streamlining Help Desk and Knowledge Transfer

  • Target group: People who did consulting in any form with people outside HMC, or would like to do it more (max. 15 participants)
  • Abstract: Consulting by HMC members and units happens on many channels. Individual exchange with researchers and infrastructures, help desk requests, project call consultation, etc… In the future, joint activities with other incubator platforms like HIFIS, AI or Imaging are also foreseeable. We want to get an overview on these activities, and discuss possible strategies and optimizations, especially regarding knowledge transfer between HMC units and members. In addition, the monitoring and reporting of these activities as well as the tools we use to implement them would be in the scope of this session.
  • Objectives:
    • Identify and implement improvements in the consulting process, especially for help desk services

    • Enhance knowledge transfer mechanisms between different units

    • Develop strategies for joint consulting

    • Increase visibility and recognition of consulting efforts

  • Agenda:
    • Introduction (10 minutes): Overview of current consulting, formats, challenges and objectives of the session.

    • Brainstorming Session (30 minutes): Group discussion on experiences and feedback from previous consulting.

    • Wrap-up and identification of next steps (10 minutes)

 

13. HMC Conference 2025 organization

  • Target group: everyone (max. 15 participants)
  • Abstract: In this breakout session we will explore, discuss and collect first ideas for an in-person HMC Conference 2025. We will brainstorm about potential organizational contributions (e.g. venue(s), contributions to organization, outreach & advertisement, program committee etc.)
  • Objective:
    • Collection of first ideas for the HMC Conference 2025
    • Identification of potential interested people for the conference organization and programm committee
    • (Possible outcome could be a task force or a conference program committee)
  • Agenda: Discussion & brainstorming
    • Introduction (10 minutes): Objectives of the session, overview of previous HMC conferences
    • Brainstorming Session (30 minutes): Group discussions
    •  Wrap-up and identification of next steps (10 minutes)
