NEST Conference 2025: Gathering and processing of personal data and creation of photos

 

Data protection is an important concern for us. Below we inform you how we process your data and which rights you have. Photos and screenshots of the participants and content may be taken only by the organizers.

Processing purposes and legal basis

Your personal data will be processed in accordance with the provisions of the General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG) and other relevant data protection regulations. In the case of photographs, the Art Copyright Act (KUG) will apply in the event of possible publication. The processing and use of the individual data depends on the agreed or requested service.

Consent (Art. 6 §1a GDPR)

If you have given us consent to the processing of personal data, the respective consent is the legal basis for the processing mentioned there. You can revoke your consent at any time with effect for the future.

Press and public relations (Art. 6 §1f GDPR)

Photographs and screenshots are processed for press and public relations work by Forschungszentrum Jülich, co-organizers and supporting entities including the NEST Initiative according to §§ 22 and 23 of the Art Copyright Act (KUG). Additional agreements will be made for publication of photographs and screenshots not covered by  §§ 22 and 23 of the Art Copyright Act (KUG).

The following data is collected/created and further processed:

  • Photographs / screen shots
  • Personal data required for registration, invoice and certificate of participation (name, institution, address, email)

Who receives the data?

We pass on your personal data within our institutions to the divisions that need this data to fulfill their contractual and legal obligations or to implement our legitimate interest. Internet presences of Forschungszentrum Jülich, the Norwegian University of Life Sciences (NMBU) and the NEST Initiative (incl. usage for lectures and distribution amongst the NEST community) also include presences on Instagram and LinkedIn. In addition, contents may also be posted on project websites and newsletters. The NEST Conference makes use of Zoom and Gathertown. Usage of these services is subject to the services privacy statements and terms of use, which can be found at

Transfer of your data to a third country or to an international organisation

Data arising in connection with the NEST Conference will be processed in the EU (Forschungszentrum Jülich) and EEA (NMBU), with possible exceptions as described below. All recipients of data processed in connection with the NEST Conference will observe the GDPR. Online services used in connection with the conference, such as Zoom and Gather.town may process data outside the EU/EEA. In these cases, Forschungszentrum Jülich checks the adequacy of the level of data protection in the corresponding third country. 

How long do we store your data?

The specified periods for storage or documentation of personal data collected during registration are one year and for photographs up to two years after the end of the conference. Ultimately, the storage period is also assessed according to the statutory limitation periods and it is regularly checked whether data can be deleted. 

To what extent is there automated decision-making in individual cases (including profiling)?

We do not use purely automated decision-making procedures pursuant to Article 22 GDPR. Should we use these procedures in individual cases, we will inform you separately.

Your privacy rights

You have the right of Information pursuant to Art. 15 GDPR, the right of rectification pursuant to Art. 16 GDPR, the right of deletion pursuant to Art. 17 GDPR, the right of restriction of processing pursuant to Art. 18 GDPR and the right of data transfer pursuant to Art. 20 GDPR. In addition, there is a right of appeal to a data protection supervisory authority (Art. 77 GDPR).

Scope of your obligations to provide us with your data

You only need to provide data which is necessary for the establishment and execution the NEST Conference or which we are legally obliged to collect. Without this data, we will generally not be able to offer the conference. This may also refer to data required later for the same purpose.

Your right to appeal to the competent supervisory authority

You have the right to appeal to the data protection supervisory authority (Art. 77 GDPR). The supervisory authority responsible for us is
