Transfer of photo rights

What sources and data do we use?
We will be taking photos at the NFDI4Microbiota annual conference on Sep 30 - Oct 02, 2025. On one hand, these are intended to capture the atmosphere and will not show individual people. Nevertheless, we process personal data from you in this way. On the other hand we will be taking photos of groups, poster sessions, and of the get together. There will be individual photos of speakers and interview partners, if they enter the stage or position themselves in front of the camera.

What do we process your data for (purpose of processing) and on what legal basis?
We process your data in general based on our legitimate interests pursuant to Art. 6 Para. 1(f) GDPR in the context of public relations work. This applies for capturing the atmosphere of the event, for photos of groups, poster sessions, and photos of the social evening and of the get together.
We process the data of the speakers implied consent by positioning them in front of the camera or entering the stage in accordance with Art. 6 Para. 1 (a) GDPR.

Who receives your data?
To publish the photos and videos of the event in the context of public relations work, we pass the recordings and thus your data on to BlueSky, LinkedIn, Mastodon, print service providers and to public media.
- How long will your data be stored?
In case of recordings, photos and related data we process your data for an unlimited period until you file an effective objection to it or effectively revoke your consent. After that, we remove your recordings, photos and related data from the relevant media within four weeks or pass on the deletion request to the recipients of the data.

With regard to the right of information and the right of deletion, the restrictions pursuant to Art. 34 and 35 BDSG apply. In addition, there is a right of appeal to a competent data protection supervisory authority (Art. 77 GDPR in conjunction with Section 19 BDSG).
You can revoke your consent to the processing of personal data at any time. This also applies to the revocation of declarations of consent given to us prior to the application of the GDPR, i.e. prior to 25 May 2018. Please note that the revocation only takes effect for the future. Processing that took place before the revocation is not affected.
Information about the right of objection pursuant to Article 21 GDPR
Right of objection on a case-by-case basis
You have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you, which is carried out based on Art. 6 Para. 1(f) GDPR (data processing based on a balance of interests); this also applies to profiling based on this provision within the meaning of Art. 4 Para. 4 GDPR.
If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing, which override your interests, rights and freedoms, or the processing serves the assertion, exercise or defense of legal claims.
