HIDA PhD Meetup
The HIDA PhD Meetup 2024 is for doctoral researchers of the Helmholtz Association with a research focus or special interest in information and data science.
At this event, HIDA aims to bring you, the PhD students of the HIDSS and Helmholtz, together so that you can
- learn about the projects your fellow doctoral students are working on,
- exchange and discuss data science methods and tools,
- share your experiences of working in an interdisciplinary environment,
- discuss strategies and best practices for research and publications,
- meet potential future collaborators.
The two-day meetup will take place at the HIDA Hub in Berlin and will be organized in such a way that everyone can travel to Berlin in the morning of day 1 and return home in the afternoon of day 2. The meetup will include both networking and training aspects, so you will have plenty of time to really get to know your fellow doctoral researchers.
We kick-off with a keynote by Sahar Abdelnabi on the topic of "New Security and Safety Challenges Posed by LLMs and How To Evaluate Them". You can find the abstract of her talk and a short bio here.
During registration, you can sign up for ACTIVE contributions in two sessions. Here is some general info on those sessions that might help you decide on your answer.
1. (Recycled) Poster session: There will be a poster session on day 1 with the motto "Recycle your data science poster", meaning you do not have to create a new poster but can re-use an old one that you have presented elsewhere. If you are interested in bringing a (recycled) poster to present your research, please let us know during the registration process. The posters should mainly focus on methodological aspects / data science methods of your research to facilitate discussions with PhDs with a different domain background. Please note: Due to limited space and time, only a selected number people will be able to present their posters. We will provide you with more details about the poster session once the confirmation process is complete.
2. Bar Camp: On day 2, we are planning a Bar Camp session (if you have never heard of Bar Camps, have a look here or here). Bar Camps are participant-driven and the attendees decide the topics and shape the agenda. Here, we believe in the collective power of bright minds coming together to inspire and profit from each other. Bringing a topic to the Bar Camp is for you if
- you have a question you need an answer to,
- you encounter a challenge you would like to discuss,
- you want to share an innovative solution you have found for a challenge you faced during your research.
Your topics may for instance evolve around data science, about you working in an interdisciplinary setting or your life as a PhD. Through the Bar Camp, you determine the content of the event.
- No Pre-set Agenda: Rather than following a rigid schedule, we go with the flow. Topics are proposed and selected by you!
- Diverse Voices: Everyone has a voice. Share your passion, engage in dynamic discussions, and learn from peers.
- Networking: Connect with like-minded individuals. The next big idea might be a conversation away!
If you have a topic for the Bar Camp session that you would like to discuss, please indicate this when you register. Once the confirmation process is complete, we will provide further details.

Travel arrangements & finances
HIDA will cover the on-site costs, including food & drinks.
Each participant has to make their own travel arrangements, that includes securing the funding for travelling and accommodation. We advise you to contact your (HIDS) School coordinator to discuss funding once your participation was confirmed by HIDA.
Please beware that the European Championship is happening at the same time as the PhD meetup and booking a hotel may be challenging on short notice. We therefore advise you to make your travel arrangements soon after you received your confirmation.

Registration will be open February 28 - March 14, 2024.
Please note: Participant numbers are limited - we can only accept a certain number of PhDs from each HIDS School.
